1. Introduction

Quanfire — a brand operated by Ronika Chakrawarty (sole proprietor), based in New Delhi, India ("Quanfire", "we", "us", or "our") — operates the Quanfire.ai platform, including the marketing website at quanfire.ai and the application at app.quanfire.ai. This Privacy Policy explains how we collect, use, disclose, and protect information when you use our services.

By using our services you agree to the collection and use of information in accordance with this policy. If you do not agree, please do not use our services.

2. Information We Collect

Account information — When you register we collect your name, email address, company name, and password hash.

Usage data — We log API requests, feature usage, error events, and session metadata to operate and improve the platform.

Content data — Content you upload or create within the platform, including documents, time entries, matters and clients, knowledge nodes, datasets you upload for analysis, marketing content you generate, job postings and candidate applications, assessments, and command history across our products.

Third-party personal data you submit — Some products let you submit personal data about other people — for example, candidate résumés, names, and email addresses in HireIQ (including via public application links and email-verified assessments), or client and matter details in BillAI and MindMap. You provide and control this data; see the "Customer content" note below.

Affiliate data — If you join our affiliate program, we collect your name, email, and the payout details you provide, and we keep a record of referrals, commissions, and redemptions.

Billing data — Payments are processed by our payment provider, Razorpay. Card and bank details are entered on Razorpay's secure checkout and are not stored on our servers; we retain only the invoice record and a payment reference.

Communications — Emails and messages you send us, including support requests and contact form submissions.

Customer content (controller / processor) — For the business content you put into your workspace, including any personal data about third parties, you are the data controller and Quanfire acts as a data processor, processing that content only on your instructions to provide the Services. You are responsible for having a lawful basis for the data and for providing any notices or obtaining any consents required from the individuals concerned.

3. How We Use Your Information

  • To provide, operate, and maintain the Quanfire.ai platform
  • To process payments and send billing-related communications
  • To send product updates, security alerts, and support messages
  • To understand how our services are used and improve them
  • To detect and prevent fraud, abuse, and security incidents
  • To comply with legal obligations

We do not sell your personal data to third parties. We do not use your content data to train AI models without your explicit consent.

4. AI Processing

Quanfire uses Anthropic's Claude models to process content you submit (documents, time-entry notes, knowledge nodes). Your content is sent to Anthropic's API under their privacy and data-processing terms. Anthropic does not use API-submitted data to train models. We retain AI-generated outputs (narratives, insights) associated with your workspace until you delete them or close your account.

5. Data Sharing

We do not sell your data. We share it only with the service providers (sub-processors) needed to operate the platform, and only to the extent required:

  • Anthropic — AI processing of the content you submit (Anthropic does not use API-submitted data to train its models)
  • Razorpay — payment processing
  • Amazon Web Services (SES) — delivery of transactional and notification emails
  • Google Analytics — anonymous website-usage analytics, loaded only with your consent
  • Cloudflare (R2) — encrypted off-site backups
  • Our cloud hosting provider — servers located in India, where your workspace data is hosted
  • Legal authorities — when required by law or to protect our rights

AI assistant connections (MCP). If you choose to connect a third-party AI assistant (such as Claude) to your workspace via the Model Context Protocol, the workspace data you ask that assistant about is transmitted to it to fulfil your request. Such assistants are independent third parties — not our sub-processors — and their handling of your data is governed by their own terms and privacy policies, not this one. You authorise the connection through a secure sign-in (OAuth); it is limited to the products and role-based permissions of the account you sign in with, and you can revoke it at any time. We do not transmit your workspace data to any assistant unless you initiate the connection, and we never use your data to train AI models.

6. Data Retention

We retain your account and workspace data for as long as your account is active. Original uploaded documents are automatically deleted after a retention window (7 days by default) once processing is complete; the extracted data remains in your workspace. On account closure, your data is deleted within 30 days. Certain records (such as invoices and audit logs) may be retained for up to 7 years to meet financial and legal requirements.

7. Security

We take reasonable, industry-standard measures to protect your data, including: encryption in transit (TLS/HTTPS); passwords stored only as salted hashes; role-based access controls and per-workspace data isolation; bot protection and rate limiting on sensitive endpoints; and regular encrypted off-site backups. Data held by our infrastructure providers is encrypted at rest where those providers support it. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

8. Your Rights

Depending on your jurisdiction you may have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate data
  • Request deletion of your data
  • Export your data in a portable format
  • Object to or restrict processing
  • Withdraw consent at any time where processing is based on consent

9. Cookies & Analytics

We use cookies that are essential for sign-in and security (for example, to keep you logged in). We also use optional analytics (Google Analytics) to understand how the site is used and improve it — these load only if you accept analytics in our cookie banner, and you can decline or withdraw consent at any time. We do not use advertising or cross-site ad-tracking cookies, and we do not sell your data.

10. Children

Our services are not directed to individuals under 16 years of age. We do not knowingly collect personal data from children. If you believe we have inadvertently collected such data, please contact us immediately.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes by email or via an in-app notice at least 14 days before the changes take effect. Continued use of the services after changes constitutes acceptance.
